Information Notice

What we collect

We collect parent and guardian contact and residential details; the dancer’s identity, date of birth and training background; emergency, authorised-pickup, relevant health, medication, injury, dietary and accessibility information; media instructions; electronic confirmations; private payment evidence; and operational timestamps. We do not request Medicare, passport or identity-document numbers through the Family Portal.

Why we collect it

We use information to assess and deliver the programme, safeguard children, respond to emergencies, follow collection instructions, communicate with families, schedule private coaching, reconcile payments, meet accounting and legal obligations and resolve concerns.

Unsubmitted form drafts

Before an application is submitted, the registration form saves your answers in session storage in the current browser tab so you can move between steps or recover from a page refresh. The draft is not sent to us until you submit. It is cleared after successful submission or when the browser tab’s session ends. Please avoid saving sensitive information on a shared device and close the tab when finished. In the authenticated Family Portal, “Save progress” stores an incomplete enrolment draft on our systems under the parent or guardian account so it can be continued after signing in again; saving a draft does not record the final safety consents. An offered place may be paid for while the family record is completed, but the required information must be finished before participation.

Photography, filming and recording

Consent is optional and does not affect participation. Families may accept one standard consent covering public International Ballet Masterclass communications, the password-protected private family gallery and selected Goldina Creative digital-experience case studies. If the standard consent is declined, the dancer is immediately marked NO MEDIA. The parent then receives a separate authenticated form to select individual uses, or to confirm NO MEDIA. No image use is permitted outside the latest recorded instruction. Families and visitors may not publish identifiable content of another child without permission.

How it is protected

Family records require authenticated access. Administrative and faculty access are separated by role. Payment proofs and student portraits are kept in private storage. Faculty do not receive family financial data. Consent versions and important actions are timestamped for accountability.

Sharing

Information is shared only with authorised people and providers who reasonably need it for the stated purposes—for example Australian operations staff, relevant faculty, child-safety or first-aid personnel, the venue in an emergency, photographers acting under instructions, payment, email and hosting providers, insurers and professional advisers. Family information is not sold.

Retention

Operational and safeguarding records are retained only as long as reasonably needed for event delivery, incident management, insurance and dispute purposes. Financial and tax records are retained for applicable statutory periods. Media follows the latest recorded instruction and retention settings communicated to families.

Your choices and access

A parent or guardian may request access or correction, withdraw optional media permission for future use, or raise a privacy concern by writing to hello@internationalballetmasterclass.com. Withdrawal cannot always reverse material already lawfully published, but it will be applied to reasonable future use. Some records must be retained where law, insurance, safeguarding or dispute needs require it.

International services

Secure technology providers may process data in Australia or other regions. The Australian Operations Provider limits disclosed fields, uses access controls and selects providers appropriate to the information handled.
