VERSION 2026-10-12-V3 · VICTORIA, AUSTRALIA

Terms, Cancellation Policy
& Participant Conditions

1. Important booking points

2. The programme and what is included

The programme, dates, venue, class format, hours, age range and published inclusions are described on the programme pages and in the written offer. The offer is the final reference for the package selected and its price. Core includes the group training stated in the offer. Premium includes the group training and one 50-minute private coaching session, subject to the availability and booking terms below. A private-coaching-only booking covers one 50-minute session. Travel, accommodation, meals, uniforms, competition entry, transport and other items are not included unless the written offer expressly says otherwise.

Training is educational and developmental. We do not promise a particular artistic result, competition selection, award, scholarship, admission, employment, future engagement or other outcome. Any international pathway opportunity is a possible consideration only; it is individual, non-guaranteed and intended to complement, not replace, the dancer’s existing school relationship.

3. Applications, offers and booking confirmation

An application asks us to consider a dancer and does not guarantee acceptance, a place, cohort, faculty allocation or private appointment. We may consider age, experience, suitability, safety, cohort balance, available capacity and faculty availability. We will communicate an offer, waitlist decision or decline in writing.

An offer will identify the programme, applicable fee, any Early Access discount, payment schedule and response deadline. A place is not confirmed by submitting an application, completing a form, selecting a preference or uploading a bank receipt. The booking is confirmed when we have accepted the family’s response, verified the required cleared funds and sent written confirmation. Until then, an offered place or appointment may remain subject to the deadline and availability stated in the offer.

A parent or legal guardian must apply for a participant under 18, confirm that they have authority to do so, provide accurate information and make decisions on the child’s behalf. Please contact us promptly if application or family details need to be corrected.

4. Fees, tax and payment timetable

All fees are in Australian dollars and include GST. Published standard fees are A$1,580 for Core, A$1,880 for Premium and A$480 for one 50-minute private-coaching-only session. Premium includes one 50-minute private coaching session. The written offer and Family Portal show the actual package, total and due dates that apply to the booking. If information appears inconsistent, contact us before paying; we will confirm the amount and deadline in writing.

Early Access: Early Access is limited to the first five eligible Core or Premium offers. It reduces the applicable published fee by A$200. The full discounted total must be paid within 24 hours of the offer. The Family Portal displays the exact due time. If payment evidence is not submitted by then, the discount may expire. If the place is still available, we may offer it at the standard fee and show a revised payment schedule. We will tell the family the revised amount and deadline; no additional amount is collected without the family taking a new payment action. A private-coaching-only booking is not eligible for Early Access unless the written offer expressly says otherwise.

Standard Core or Premium: An A$800 booking payment is due to reserve the offered place. The Family Portal displays the exact booking window, normally 24 hours from the offer. The remaining balance is due by 11:59 pm Melbourne time on 1 November 2026. If a place is offered after that date, the Portal may require the full remaining fee within the displayed booking window. A private-coaching-only offer has its own due date, displayed in the Family Portal. The Portal is the source of truth for the exact scheduled amount and deadline. We may send reminders before a scheduled payment is due.

Payment is currently by bank transfer. The Portal provides the account details and the student reference to use. A receipt upload is evidence for review only; it does not establish that funds have cleared or that a booking is confirmed. We will confirm receipt and booking status in writing after reconciliation. Please do not send card details or banking passwords through the Portal, email or a message.

If a payment is late, appears incorrect or cannot be made by the displayed deadline, contact us promptly. We will review the circumstances and explain any proposed effect on the offer or place before taking action where reasonably practicable. A missed deadline does not create an automatic forfeiture of all money paid. Any amount retained must be fair, reasonable, connected to services supplied or loss caused, and permitted by law.

5. Cancellation, withdrawal and refunds by a family

A parent or guardian may request cancellation in writing through the official programme email or Family Portal contact route. The request should include the dancer’s name and student reference. We will acknowledge it and confirm the effective date. Please contact us as early as possible so we can try to offer the place to another dancer.

If a family changes its mind or cannot attend, we assess any refund individually. Relevant factors include the notice given, services already supplied, reasonable and documented costs that cannot be recovered, work already performed for the booking, and whether the place or appointment can be filled. We will give the family a written explanation of the decision and calculation. Where the place is refilled or a cost is avoided, we will take that into account. We do not impose an automatic forfeiture of the A$800 booking payment or an Early Access payment.

A transfer or replacement participant may be considered if requested in advance, the participant is suitable, safety information is completed and the programme can accommodate the change. A transfer is not effective until we confirm it in writing. We will not charge an undisclosed transfer fee. Any reasonable additional cost must be explained and agreed before it is incurred.

This section does not limit any refund, cancellation or other remedy available under the Australian Consumer Law or other applicable law. A remedy that the law requires will be provided even if a family cancellation request is made under this policy.

6. Illness, injury and compassionate circumstances

Tell us as soon as possible if illness, injury, disability-related needs or another serious circumstance may affect safe participation or attendance. We will consider reasonable adjustments, a transfer, credit, substitute participant where suitable, or refund fairly and consistently with applicable law. We may ask for supporting information only where reasonably necessary to assess safety or the requested change, and will handle it under the Privacy Notice.

A dancer who is unwell, injured or unable to participate safely may be asked to rest, modify activity or stop. This is a safety decision and does not by itself determine whether a refund is due; the applicable law and the circumstances of the booking remain relevant.

7. Private coaching and appointment changes

Private coaching is subject to faculty, studio and timetable availability. Premium includes one 50-minute appointment; an appointment is not guaranteed with a particular teacher unless the written offer expressly confirms that teacher. The Family Portal may display the nearest available appointment first. If a family selects “either” where more than one faculty member is available, the family authorises the programme team to allocate one of those available faculty members.

A selected appointment may be held for up to 30 minutes while the family completes the payment step. The Portal will show the hold expiry. A hold may end automatically if the stated payment step is not completed in time. The appointment is final only after payment has cleared and written confirmation has been issued. Preferences will be accommodated where possible but are not guaranteed unless confirmed in writing.

If a participant cancels, does not attend or arrives late, the session may be shortened or unavailable; any refund will be assessed under section 5 and applicable law. If the confirmed teacher, time or studio becomes unavailable, we will contact the family and offer a suitable alternative, reschedule, credit or refund for the part not provided, as appropriate and consistent with law.

8. Changes to the programme or faculty

We may make reasonable changes to class content, faculty rotation, studio allocation, timetable or delivery arrangements where needed for safety, cohort needs or operational reasons. We will notify families as soon as reasonably practicable about a material change. We will not describe a materially different service as though it were unchanged. If a change significantly reduces the service purchased, we will discuss an appropriate remedy, including a refund for the materially affected part where required by law.

9. Cancellation or interruption by the programme

If we cancel the programme or cannot provide a substantial part of the service, we will notify families promptly and provide the refund or other remedy required by law for services not supplied. We may offer a rescheduled programme, transfer or alternative delivery. Where the law requires a family choice, a credit or replacement will be used only with the family’s agreement.

If an event outside our reasonable control disrupts delivery—such as a venue closure, severe weather, public emergency, government direction, transport interruption or serious faculty illness—we will take reasonable steps to reduce disruption, keep families informed and arrange a lawful and fair solution. This does not remove any non-excludable consumer right.

10. Child safety, health and emergency response

Every dancer has the right to feel safe, respected, heard and included. We do not tolerate child abuse, grooming, bullying, harassment, discrimination or unsafe conduct. The detailed safeguarding commitments and concern-reporting route are in our Family Safeguarding & Participation Policy.

Ballet involves physical exertion and a risk of injury. Before participation, the parent or guardian must complete the Family Enrolment Form and provide information reasonably needed for safe participation, emergency response and collection. Please update the Portal if the information changes. Participants must follow reasonable safety directions. Staff may pause, modify or stop an activity where reasonably necessary to protect a dancer.

If urgent support is needed while a dancer is in programme care, staff may provide or arrange reasonable first aid, contact the listed emergency person, call 000, or obtain urgent medical treatment where necessary. We will make reasonable efforts to contact the parent or guardian as soon as practicable. External medical, hospital or ambulance charges are the family’s responsibility where permitted by law and are not programme fees.

11. Arrival, supervision and collection

The parent or guardian must record an authorised collection plan in the Family Portal before the dancer participates. Payment does not remove or postpone that requirement. We will release a dancer only to a named authorised adult, unless the parent or guardian has expressly recorded permission for independent departure and it is safe and lawful to follow that instruction. Notify us promptly about any change.

Supervision is provided only during the published programme hours and in programme-controlled areas. Families must arrange timely drop-off and collection. We do not provide transport, accommodation, meals, overnight care or after-hours supervision unless the written offer expressly includes it. A parent or guardian remains responsible for the dancer outside the stated supervision period.

12. Behaviour, directions and removal

Participants and accompanying adults must treat others respectfully and follow reasonable child-safety, venue and staff directions. Serious or repeated unsafe, abusive, discriminatory, harassing or disruptive conduct may result in a proportionate change to participation or removal from the venue. Where practicable, we will explain the concern and give the family an opportunity to respond. Immediate action may be taken where needed to protect a child or another person.

If participation is ended for conduct, the financial outcome will be assessed fairly by reference to services already provided, the circumstances, any loss caused and applicable law. Removal does not create an automatic right to keep all fees and does not affect rights that cannot lawfully be excluded.

13. Photography, filming and recording

Consent to official photography, film or recording is optional and separate from placement. Declining does not disadvantage an applicant. Any permission is limited to the purposes and channels described in the Privacy Notice and the current consent form. A parent may withdraw optional consent for reasonable future use by contacting us; withdrawal cannot always reverse material already lawfully published or distributed before the request was received.

Families and visitors must not photograph, film, record or publish identifiable material of another child without express permission. Participants must not make commercial recordings or distribute class material in a way that breaches another person’s privacy, intellectual property or safety.

14. Class materials and intellectual property

Programme materials, choreography, music arrangements, teaching notes, photographs, video and other content may be protected by intellectual property rights. The family receives permission to use materials supplied for the dancer’s personal learning only. Materials must not be copied, sold, publicly streamed, used for commercial purposes or represented as the family’s own without the relevant rights holder’s permission. This clause does not transfer any rights in a dancer’s own work or limit a right the law gives the family.

15. Privacy and programme records

We collect and use parent, guardian and child information to assess applications, deliver the programme, safeguard dancers, manage emergencies and collection, arrange coaching, reconcile payments, communicate, meet legal obligations and resolve concerns. Health, emergency, media and child information is handled as described in the Privacy & Child Information Notice. Information is shared only with authorised people and service providers who reasonably need it for those purposes, or where law permits or requires disclosure.

We may keep the application, accepted policy versions, timestamps, payment records, correspondence and incident records for operational, accounting, insurance, legal and dispute-resolution purposes for the period reasonably required or required by law. A receipt upload is stored securely for payment review. We do not sell family information. Contact us through an official programme email to request access or correction or to raise a privacy concern.

16. Electronic forms and communications

A parent or guardian may accept an offer and acknowledge these terms using the electronic controls provided in the application or Family Portal. We may record the policy version, date and time, account identity, application reference and the action taken as evidence of the family’s instructions. Electronic communications, records and signatures may be used to the extent permitted by law. Please keep your account access secure and tell us promptly if you believe it has been used without authority.

We may send essential application, payment, safety and programme messages to the email address or mobile number supplied. These operational messages are not optional marketing. Please keep contact details current and check the Family Portal for payment deadlines and booking status.

17. Complaints and support

If you have a question or complaint, contact the Australian Operations Provider through the official programme email at hello@internationalballetmasterclass.com. Include the dancer’s name, student reference and a brief description. We will acknowledge the matter, review it fairly and respond within a reasonable time. Safety concerns should be raised immediately with the programme leader; if a child is in immediate danger, call 000.

18. Australian Consumer Law and liability

Our services come with guarantees that cannot be excluded under the Australian Consumer Law. For major failures with the service, you are entitled:

You are also entitled to be compensated for any other reasonably foreseeable loss or damage.

If the failure does not amount to a major failure, you are entitled to have problems with the service rectified in a reasonable time and, if this is not done, to cancel your contract and obtain a refund for the unused portion of the contract.

Nothing in these terms otherwise excludes, restricts or modifies a consumer guarantee, right or remedy that cannot lawfully be excluded, restricted or modified. If a term conflicts with a non-excludable right, the legal right prevails and the rest of the terms continue to operate where possible.

To the extent permitted by law, each party remains responsible for loss caused by its own acts or omissions. Nothing in these terms excludes liability for fraud, deliberate misconduct, or any liability that the law does not permit to be excluded. We do not promise that a dancer will achieve a particular result, but this does not limit a consumer guarantee about the services supplied.

19. General terms and governing law

These terms, the written offer, the accepted enrolment details and the linked policies describe the booking. If documents conflict, the specific written offer controls the programme package and amount, while these terms control general booking and participation matters, subject always to applicable law. A change to a confirmed booking must be agreed in writing. A delay in enforcing a term does not waive it. If a provision is invalid or unenforceable, it is severed only to the extent necessary and the remaining provisions continue.

These terms are governed by the laws of Victoria, Australia. Families may also contact the relevant consumer protection or privacy regulator. Translations are supplied for convenience; the English version governs to the extent permitted by law, without limiting any rights that apply to a family under local law.
